Event Rules: Ushuaia By UTMB®

 

USHUAIA by UTMB® is a challenging endurance trail event which takes runners into remote and wild areas. The event is based on the principal of semi autonomy.

The event will take place in Ushuaia, Tierra del Fuego, in the Argentinian Patagonia. It will be staged at the “End of The World”, in one of the wildest places on earth, filled with valleys, high mountains and lagoon systems interconnected by rivers that flow into the Beagle Channel (where the two oceans mix). Ushuaia is so close to the Antarctica that the climate is very similar to that in the Alps at 3,000 meters high. In fact, you can even get to experience the 4 seasons of the year in a single day. Temperatures during daytime may reach 11°C in the valleys. In the mountains, where most of the trail is located, they are much lower and, especially at night, temperatures may drop below freezing, so runners will need to equip accordingly. At times, the temperature in the mountains can be below -10 ° C (especially at night) and extreme winds can reach 80 km / h. Given the trail’s remote and difficult to access sections, a real capacity for personal self-sufficiency is required. In short, it will be a very technical trail, with big “ups and downs”, diverse geographies, changing landscapes and an oscillating climate. Be aware that you will have around 11 hours of daylight.

 

 

2019 Regulations

 

PRESENTATION OF THE EVENT

 

ORGANIZATION

The company South American Sport Company organises USHUAIA by UTMB® with the assistance of UTMB® International. South American Sport Company carries appropriate third-party insurance to cover the responsibilities of the organisation, staff and volunteers.

 

ACCEPTANCE OF THE REGULATIONS OF THE RACE

Participation in the USHUAIA by UTMB® event implies the express acceptance, without reservation, of these regulations and any instructions sent by the organiser to the participants.  

 

DEFINITION OF THE EVENTS

USHUAIA by UTMB® is an event in open country, in the Andes Range, using hiking and off-road routes. The races take place in one single stage, at an undefined pace within a time limit.

 

Technical information:

FMU: 130 km and over 7.100 meters of accumulated height gain (approx.). Starts from Playa Larga, in semi-autonomy and in approximately 35,5 hours max (*) – 6 ITRA Points, that can be used for qualification to UTMB® Mont-Blanc (**) (***).

FBT: 70 km and 4.300 meters of accumulated height gain (approx.). Starts from Playa Larga, in semi-autonomy and in approximately 20 hours max (*) – 4 ITRA Points, that can be used for qualification to UTMB® Mont-Blanc (**).

LCT: 50 km and 2.300 meters of accumulated height gain (approx.). Starts from Playa Larga, in semi-autonomy and in approximately 12 hours max (*) – 3 ITRA Points, that can be used for qualification to UTMB® Mont-Blanc (**).

ELT: 35 km and 1.500 meters of accumulated height gain (approx.). Starts from Mosca Loca (Valle Carabajal), in semi-autonomy and in approximately 8 hours max (*) – 2 ITRA Points, that can be used for qualification to UTMB® Mont-Blanc (**).


(*) The cut-off times are specified in precise timetables that are avalilable here.

(**) Points acquired on the USHUAIA by UTMB® event can be used during 3 years (instead of 2) for a registration to UTMB® Mont-Blanc.
(***) Finishers of the FMU distance will gain one year in the UTMB® Mont-Blanc registration process: if they would like to participate in the 2019 edition of the UTMB® Mont-Blanc, they will double their chances in the lottery if registering for the first time; or they will be guaranteed a spot if they were unsuccessful when trying to register for the prior year’s edition.

 

CONDITIONS OF PARTICIPATION AND REGISTRATION

 

REGISTRATION CONDITIONS

The races are open to any person, male or female, aged 18 or more at the time of the event.

However, the organisation reserves the right of admittance.

Runners must be prepared both physically and mentally to face the distance they choose to run, taking into account the characteristics of this type of event. In addition, participants should have personal autonomy in the mountains to be able to face any problems that may arise during the course, between assistance stations.

The organisation will place special emphasis on the capacity of those runners who register to run 70km or more. The organisation reserves the right to refuse any registration for these courses if, upon requesting experience, it turns out that the person does not have sufficient training (or cannot certify his/her background).

By registering, the undersigned (hereinafter, the “Participant”) agrees to comply with the rules and regulations of Ushuaia By UTMB® to be held on April 5 to 7, 2019 in Ushuaia and hereby certifies that he/she does not suffer from any physical condition, acquired or congenital, or injuries that may lead to serious health disorders or even cause death, arising out of the entrant’s participation in this competition. Besides, the participant knows and warrants that he/she is aware of the technical characteristics of the race and has disclosed this information to the medic/physicians that have performed the medical check-up, as explained below. In that regard, the participant attests that before entering the competition he/she has undergone a medical examination and that is in good physical condition to participate in the event and also declares that he/she fully assumes all risks associated with the participation in this competition (falls, contact with other participants, unpredictable weather conditions, traffic, conditions of the trails, and/or any other type of risk that may result from participating in the event or from a third party behavior). The participant hereby acknowledges and voluntarily accepts that under no circumstances South American Sport Company SRL, its sponsors and/or contracted or affiliated corporations shall be held liable for any indemnification, claim, expense, damages, including but not limited to: material, physical, mental or moral damages, damages arising from accidents, loss of gains, against his/her person or rightful claimants, arising out of or in connection with the physical activity performed. Having read this waiver and knowing these facts, the participant hereby holds harmless South American Sport Company SRL, its sponsors, affiliated companies and agents, directors, shareholders from all claims and liabilities of any kind arising out of the entrant’s participation in this event, as well as from any loss, theft and/or robbery, in case of fire of his/her personal belongings or items taken to the event, physical injuries caused by fights or disputes held by third parties, or physical damages caused by an illness or any other type of disorder arising before, during or after the end of the competition.Given that the classification system is electronic and errors could take place, the participant hereby agrees not to file any claim if this scenario occurs. The Participant hereby grants full permission to the organizing authorities and their sponsors to use, reproduce, distribute and/or publish any of his/her photographs, movies, videos, recordings and/or any other type of record for any legitimate purpose associated with the event, without granting any financial compensation in favor of the participant. Cancellation Policy: Regardless of the reason, registration fees will not be reimbursed to participants who decide not to participate.

To validate one’s registration, each runner must:

Supply a specific medical certificate (*). It must be uploaded either during registration or afterwards via the registration portal before March 16, 2019 (the organisation does not accept medical certificates sent by email or the post). If no medical certificate is received by this date, the registration will be cancelled without reimbursement.

The original medical certificate (with the doctor’s original signature and stamp/professional number) must be shown at race-bib distribution. In the absence of this medical certificate no race-bib will be attributed.

(*) The medical certificate template is available in the registration site. Runners should use exclusively that model.

 

REGISTRATION FEE

Registration is only via the Internet and secure payment by credit card or bank transfer.

If you choose to make a Bank Transfer, you must OBLIGATORILY write down, in the details of such transfer, the number of reference that the inscription system gives you, in order for the organization to be able to tell who carried out the payment.

Bank account details: once you select the option of paying via Bank Transfer, you will automatically receive an email with the details of the bank account.

Payment in ARS is only possible via Bank Transfer. For residents in Argentina, please note that if you choose to pay via Credit Card, your debit will be in USD, NOT in ARS. If you want to pay directly in ARS, please choose to pay via bank transfer.

International Bank Transfer (from elsewhere to Argentina) will have an extra cost of 50 USD. Payment in USD is only possible via credit card.

The fee covers all the services described in these regulations.

Registration is nominative. There is no authorisation for transferring one’s registration from one race to another, or from one person to another, whatever the motive.

RUNNER’S COMMITMENT

To participate in the USHUAIA by UTMB® event, it is essential:

  • To be completely aware of the length and character of the event and to be perfectly prepared for it;
  • To have acquired, previous to the race, a real capacity of personal autonomy in the mountains allowing for the management of problems induced by this type of event, and notably:
    • Know how to confront, without outside help, climatic conditions which could be very difficult to deal with at altitude (night, wind, cold, fog, rain or snow).
    • Know how to manage, including when one is isolated, physical or mental problems arising from a great fatigue, heat, digestive problems, muscle or articular pains, small wounds etc.
    • To fully recognise that the organisation’s role is not to help a runner manage these problems.
    • To be totally aware that for such an activity in the mountains security depends upon the runner’s capacity to adapt to the problems encountered or foreseen.

 

SEMI AUTONOMY

The principal of an individual race in semi-autonomy underpins this event and registered runners must understand and accept this. The USHUAIA by UTMB® races will take place in one single stage, at an undefined pace, within the limits of the time barriers which are specified. Semi-autonomy is defined as having the capacity to be autonomous between two refreshments posts, as much on the food and water front as that of clothing and security, allowing for adapting to problems encountered or foreseen (bad weather, physical problems, injury…)

This principal implies, in particular, the following rules:

  1. Each runner must have with them throughout the duration of the race the totality of their obligatory equipment (see paragraph EQUIPMENT). They transport this equipment in a pack, tagged during race-bib distribution and it cannot be changed along the race route. At any moment of the race, the race stewards can verify the pack and its contents. The runner is obliged to submit to these checks in good humour, at the risk of exclusion from the race.
  2. The refreshment posts supply drinks and food to be consumed on site. The organisation only supplies still water or energising drink for filling water bottles or hydration packs. Runners should make ensure they have, when leaving each refreshment post, the quantity of drink and food necessary to keep them going until the following refreshment post. For slower runners, the longest sections without refreshments can be more than 6 hrs.
  3. Personal Assistance is tolerated exclusively on the FMU and on the FBT, in the zone specifically reserved for this use and at the discretion of the chief of the post. The assistance zone will be specified in February 2019. This assistance can only be given by one person, without specific equipment other than a bag with a maximum volume of 30 litres. Assistance given by a team of professionals, or any medic or paramedic, is strictly forbidden. Transportation for the person assisting the runner to the assistance zone specified by USHUAIA by UTMB® should be arranged privately (the organisation will not provide such transportation). The rest of the refreshment post is strictly reserved for the runners. Assistance is forbidden for the LCT and ELT races.
  4. It is forbidden to accompany or be accompanied along any part of the race route by a person not registered for the race, outside of the tolerance zones which are clearly marked in the proximity of the refreshment posts.

Note: A participant who accepts being filmed, and therefore accompanied, outside of the expressly designated zones contravenes the principle of semi-autonomy. The race stewards witnessing irregularities are authorised to penalise the participants in order to guarantee the spirit of trail-running events.

 

EQUIPMENT

In order to ensure their security and the good progress of each event, each participant must have at their disposal all the obligatory equipment on the list, detailed below. Each participant must present their obligatory equipment, in order to retrieve their race-bib (*), and agree to keep it with them throughout the event.

It is important to note that the material imposed by the organisers is a vital minimum which each trail-runner must adapt to their own capacities.  In particular, they must not choose the lightest weight clothing possible in order to gain a few grams, but opt for clothing which really offers good protection in the mountains of Ushuaia, which therefore gives better security and a better performance.

(*) Any organization member is entitled to check at any moment that the runner has the obligatory equipment. If the runner refuses to disclose these elements or doesn’t have any part of it, he/she will be left out of the race.

 

Obligatory equipment: FMU

1. Race bib (provided by the organization)

4. 1 backpack or similar (that goes through the shoulders) destined to transport the obligatory
equipment throughout the race
5. Mobile/cell phone with international roaming allowing for its use in Argentina (load in to its
memory the organization's security numbers, keep the phone on, don’t mask your number and
don’t forget to leave with the battery fully charged).
6. Personal beaker 15 cl minimum (bottles or flasks with lids are not accepted).
7. Supply of water of 1 liter minimum.
8. 2 lanterns in good working order with spare cells/batteries. Recommendation: 200 lumens or
more for the main torch.
9. Survival blanket of 1.40m x 2m minimum.
10. Whistle (has to be fastened to the front and fully visible for all distances).
11. Self-adhesive elasticated bandage which can serve as a bandage or strapping (minimum 100 cm
x 6 cm).
12. Food reserve. Recommendation: 1.000kcal (4 gels + 4 energizing bars each of 65g)
13. Jacket

a. with hood which will withstand bad weather in the mountains and made with a
waterproof (*) and breathable (**) membrane (e.g. Outdry)

i. (*) minimum recommended 10.000 Schmerber
ii. (**) RET recommended inferior to 13

b. the jacket must, imperatively, be fitted with an integrated hood or one which is
attached to the jacket by the original system designed for that purpose by the
manufacturer.
c. the seams must be sealed.
d. the jacket must not have sections of fabric which are not waterproof, but air vents fitted
by the manufacturer (under-arm, in the back), since they do not damage in any obvious
way the impermeability, are accepted.
e. It is the runner’s responsibility to judge, with these criteria, if their jacket fits the
regulations stated and so bad weather in the mountains, but, during a check, the
judgment is made by the person in charge of the check or the steward.

14. Long-legged trousers or race leggings OR a combination of legging and socks which cover the
legs completely.
15. Cap, bandana or Buff®
16. Additional warm second layer: a warm second layer top with long sleeves (cotton excluded) of a
weight of a minimum of 180g (men’s size medium (M).

a. OR the combination of a warm long-sleeved underwear (first or second layer, cotton
exclude) of a minimum weight of 110g (men’s size medium (M)) and a durable water
repellent (DWR protection) windproof jacket (*)

1. (*) the wind-proof jacket does not replace the obligatory waterproof
jacket, and vice versa.

17. Additional warm third layer (intermediary layer between the 2nd layer and the waterproof
jacket)
18. Robust and closed trail-running shoes (minimalist or ultralight shoes excluded). Shoes with a
waterproof membrane are strongly recommended

All clothing must be the correct size for the competitor and it should not have been modified in any way after leaving the factory.
You will carry this equipment in a pack which must be tagged during race-bib distribution and is not interchangeable during the race.

  • Smartphone with the LiveRun app installed and activated + external battery
  • Spare clothing. Temperature by night can be as cold as 0° C at altitude
  • Poles in case of rain or snow for your safety in case of slippery terrain
  • Vaseline anti-chafing cream
  • A cash sum of a minimum of 800 ARS (for contingencies)
  • Reusable bowl
  • GPS watch
  • Knife or scissors for cutting elasticated bandage
  • Emergency sewing kit
  • Sunscreen

If you choose to take poles, it is for the duration of the race. It is forbidden to start without poles and recuperate them during the course of the race.

No poles are authorised in the drop bags.

ANTI-DOPING CONTROL

Any competitor could be subjected to an anti-doping control before, during or at the finish of an event. In case of a refusal or abstention, the runner will be sanctioned in the same manner as if convicted of doping.

 

SAFETY

The organization will follow the Medical Emergency Responsive Plan set by UTMB®. This plan will include: mountain guides, pre-established mountain security posts, radios for communication, ambulances and a medical coordinator.

Each runner is exclusive responsible for her/his decision to participant in the event, disclaiming in advance all responsibility with respect to the organizers and/or the sponsors, for the hypothetical occurrence of damages to themselves or their belongings, with reason or in occasion of the development of the event. Each participant is responsible and must assume all expenses of medical emergencies, except for those provided by the organization during the race.

Each participant must have their own medical coverage. Each runner is aware of the possible consequences of the practice of this type of activity, should therefore assume and be responsible for any expenses related to medical emergencies, except those covered her/his medical coverage and emergency care in the field provided by the organization during the race, whether with ambulance, mountain guides, nurses or doctors. If necessary, to continue with medical emergency assistance, runners will be taken to the nearest hospital.

The choice of method and means of evacuation as well as the place of hospitalization depends solely on the decision of the organization’s team, which will systematically put first the safety of the runner. Each participant must assume and be responsible for any expenses related to medical emergencies and transportation, except those covered by the organization during the race.

During the registration every runner must provide information regarding their medical coverage and ratify a contact name and an emergency telephone number.

 

RESPECT FOR THE ENVIRONMENT

By registering for USHUAIA by UTMB®, participants agree to respect the environment and the natural areas they pass though. In particular:

  • It is strictly forbidden to abandon your rubbish (gel tubes, paper, organic detritus, plastic wrappers) along the race route. Trash/rubbish bins are available at each refreshment post and it is imperative that they are used. The race stewards conduct random checks all along the race route.
  • All participants must keep any rubbish and wrappers with them until they can throw them in the bins which are provided for them at each refreshment post. The organisation encourages runners to equip themselves with a bag or pouch in which to transport their waste to the next bin.  Plastic bags for soiled paper are handed out with the race-bibs. They must be used for collecting any paper soiled during any urgent need along the route.
  • It is imperative that you follow the paths as they are way-marked, without short-cutting them.

 

ELITE RUNNERS

Having the status of an international elite creates rights and duties for the athletes concerned. They are as below:

Rights: In recognition of athletes of a high calibre and for the fair management of the registration, we reserve places for elite athletes according to criteria based on their ITRA performance index data.

Free registration: Men > 800 / Women > 700

To register for free, elite runners meeting the above criteria should contact South American Sport Company at info@ushuaiabyutmb.com in order to obtain a discount code which can then be entered when registering in the normal way.

Duties: In return, elite runners agree to:

  • Be present at any press conferences and official ceremonies to which they are invited;
  • Be present at prize-giving ceremonies if they concern them;
  • Be present at the start line no later than 15 minutes before the start of the event.

 

RIGHTS FOR IMAGES

Every competitor expressly foregoes the rights on any images taken during the event, just as they renounce any right of appeal to the organisers and their partners for the use of their image. Only the organisation can transfer this right for images to any media, via an accreditation or relevant license. Ultra-Trail® and UTMB®, are legally registered names. All communication about the event or the use of images from the event must respect the name of the event, the registered trademarks and have official approval from the organisation.

 

INDIVIDUAL SPONSORS

Runners who are sponsored can only display their sponsor’s logos on their clothing and equipment used during the race. All other publicity accessories (flags, banners etc.) are forbidden at all points of the race route including the finish, at the risk of a penalty given by the discretion of the race directors.

 

DATA PROTECTION

South American Sport Company follows best practice in data protection. You have the right of access and rectification for all information concerning you. This information is used uniquely within the interior of the organisation and concerns technical data such as your email address. The organisation on no account uses your information for other ends. Each runner has a right of access and rectification concerning information relating to themselves. To do this, please send us an email stating your surname, first name and race-bib number.

 

RACE ORGANISATION IN GENERAL

 

RACE-BIBS

Each race-bib is distributed individually to each runner upon presentation of:

  • A piece of photographic identity,
  • Your race pack and all the obligatory equipment.
  • Medical Certificate (the original version of the one submitted during registration).

The race-bib must be worn on the chest or stomach and be permanently and completely visible throughout the totality of the race. It must always be placed on top of all clothing and can in no case be positioned on a leg or pack. The name and partner’s logos must not be either modified or hidden. The race-bib is the pass necessary for accessing the buses, refreshment posts, infirmary, rest areas, showers, drop-off or pick-up areas for drop bags. Except in the case of a refusal to comply with a decision taken by a race official, the bib is never taken away. In case of abandonment, the bib is deactivated.

 

DROP BAGS / SPARE’S SACKS

FMU: each competitor receives a 30 litres bag with their race-bib. After filling it with the necessities of their choice and closing it, they can drop it off in the allotted area near the start. This bag is then taken to the designated check-point by the organisation (the location of this check-point will be communicated in the Runner´s Guide). Upon arriving to this check-point, runners must, obligatorily, withdraw their bags. When they leave the life base they, personally, must leave them again in the allotted area. The bags are finally returned to Ushuaia.

Recuperation of bags in Ushuaia: The bags are returned to either the competitor or a family member or a friend, exclusively upon presentation of the race-bib. The bags must be recuperated no later than 2 hours after the end of the race. After that time, the runner must come, in person, to recuperate their bag, at their own cost, from the organisation in Ushuaia.

Only bags supplied by the organisation will be transported. Poles are not allowed in these bags. The contents of the bags will not be verified, no contestation over the contents of the bag at the finish will be accepted. The placing of valuable objects in these bags is not recommended and the organization will not be responsible for them.

Runners are recommended to pack toiletries and a change of clothing to use after finishing the race.

 

TRANSPORTATION

In case a circuit starts outside of the city, the organisation will provide transportation to the starting point of the race ONLY to the competitors registered to such circuit. The race-bib is the necessary pass for accessing this service.

 

REFRESHMENTS

The organisation ensures the presence of solid and liquid refreshments along the race-route. The refreshment posts supply drinks and food for consuming in situ. The organisation supplies still water and energising drink that can be used for filling water bottles/hydration packs. Personal beakers are obligatory. The runner must make sure, when leaving each refreshment post, that they have the necessary quantity of food and drink to last until the next refreshment post.

Only runners wearing a visible race-bib who have been duly checked have access to the refreshment posts.

 

CHECK POSTS

A check is carried out at the arrival at a refreshment post and at certain security posts.
Unexpected check posts may be set-up at posts other than those of refreshment or security posts. Their location is not divulged by the organisation.

WAY-MARKING

For better sighting at night the way-markers have reflective signals which should be clearly visible in the light of your torch.

MAXIMUM AUTHORISED TIME AND TIME BARRIERS

The maximum time for the event, for the totality of the route is fixed at:

FMU: Approximately 35,5 hours

FBT: Approximately 20 hours

LCT: Approximately 12 hours

ELT: Approximately 8 hours

A precise timetable including definitive cut-off times and time barriers will be offered in the Runners Guide and is available here. In case of a change (cf § Exceptional Conditions), new time barriers will be announced.

These time barriers are calculated to allow participants to arrive at the finish line within the maximum time allowed, while having made the necesary stops (rest, food…). In order to be authorised to continue, competitors must leave the check point before the fixed time limit (whatever their time of arrival at the check point).

All competitors excluded from the race who wish to continue the route can only do so after having returned their race-bib, under their own responsibility and in complete autonomy.

 

SECURITY AND MEDICAL ASSISTANCE

Security posts are positioned at various points along the route. These posts have a radio or telephone link to the race command centre for security. A medical team is present throughout the events at the race command centre.

It is up to a runner, in trouble or seriously hurt, to call for help:

  • By going to a security post
  • By calling race command centre
  • By asking another runner to alert the security service
  • By using the SOS app LiveRun

Every runner must give assistance to any person in danger and alert the security services.

In case it is impossible to contact the race command centre, you can make a direct call to the national security service (phone number is 911) or to the province security service (phone number is 103), most particularly if you find yourself in a zone where only emergency calls are possible.

Do not forget that hazards of all sorts, linked to the environment and the race, may require you to wait assistance for a longer time than expected. Your security therefore depends upon the quality of the equipment you have put in your pack.

All the personnel, medics, paramedics, search and rescue and official guides, as well as any person so designated by the organisation, are able to:

  • exclude any competitor from the race who is judged to be unable to continue the event
  • oblige any competitor to use any element of obligatory equipment
  • evacuate by any means runners who are judged to be in danger
  • orientate patients to a better treatment structure, which is better adapted to their needs

A runner who contacts a doctor or search and rescue personnel submits themselves to their authority and agrees to accept their decisions.

As from the moment where the state of a runner’s health justifies treatment via an intravenous drip, they are obligatorily excluded from the race.

An infirmary will be accessible at the finish line throughout the duration of the races. Runners who have a severe medical problem may present themselves. Minor treatments will be carried out at the discretion of the personnel and subject to their availability.

Each runner must stay on the way-marked route, even to sleep.

All runners who voluntarily venture from the way-marked course are no longer under the responsibility of the organisation.

 

REST

A rest area in Ushuaia is available exclusively for runners who have just finished FMU or FBT races. In no way does this constitute a solution for accommodation for the entire night. Runners that have finished their race and wish to prolong their stay must have their own accommodation (you can contact South American Sport Company for help arranging accommodation via info@ushuaiabyutmb.com).

 

RANKING AND RECOMPENSE

A general ranking, male and female, and for each category (below) is established.

The first 3 men and the first 3 women in the general ranking, as well as the first 3 in each category receive trophies and/or medallions.

In the general ranking, ONLY for the FMU course (130 km) the first 5 women and the first 5 men will be rewarded.

There will be a “Finisher” Medal, for all those who complete the course in which they registered.

Runners must be present at their prize giving. The trophies and prizes are only distributed at the ceremony.

ABANDONMENT AND RETURN TO USHUAIA CITY

Except in case of an injury, a runner must not abandon outside of a check point. They must inform the person responsible for the post, and inform the race command centre. After km 65 of the FMU race, there is no road access so the repatriation will be by foot or helicopter.

In case a runnner decides to abandon between two check points, he/she must go to the nearest check point to announce the abandonment.

For check points with vehicular (car or 4×4) access, the organisers will endeavour to take runners who abandon back to Ushuaia city within a reasonable timescale, but runners must recognise that this is subject to logistical constraints or issues arising.

Runners who abandon at security or refreshment posts without vehicular access and whose state of health does not necessitate an evacuation, must go as fast as possible and under their own means to the nearest point of return to Ushuaia city. Also note:

  • at the closure of the post, the organisation may, within the means possible, take to Ushuaia city all the runners who have abandoned and who are still present at the post;
  • in case of unfavourable weather conditions which justify the partial or total stoppage of the race, the organisation ensures taking to Ushuaia city the runners as fast as possible.

 

PENALTIES – DISQUALIFICATION

Race stewards present along the race-route, and those responsible for the different refreshment and security posts are able to enforce the regulations and immediately apply a penalty in the case of non-respect for these regulations, according to the following chart:

CLAIMS

Any claim must be made to us by email via info@ushuaiabyutmb.com, within 10 days after the end of the event.

 

EXCEPTIONAL CONDITIONS

If the circumstances require it, the organisation reserves the right to, at any moment, modify the route, start times, time barriers, position of the refreshment or security posts, and any other aspect related to the good functioning of the events.

In the case of a force majeure, weather conditions which are too unfavourable or any other circumstance which puts the security of the competitors at risk, the organisation reserves the right to:

  • defer the start by 24 hours max
  • modify time barriers
  • cancel the event
  • neutralise the event
  • stop the race in progress

In the case of the cancellation of an event, for whatever reason, decided more than 15 days before the date of the start, partial reimbursement of the registration fee will be made. The amount of this reimbursement will be fixed so as to allow the organisation to deal with all the irremediable expenses committed to the date of the cancellation. In case of cancellation decided less than 15 days before the departure or in case of interruption of the race, for whatever reason, no refund whatsoever will be made.

The organization reserves the right to postpone the event for whatever reason. In this case, it will state the new dates and no refund whatsoever will be made.

 

OFFICIAL PROGRAM

An official program can be downloaded from the web site www.ushuaiabyutmb.com as from February. It includes maps of the routes and practical information such as time barriers, refreshment post locations, security posts, as well as the areas with access for accompanying persons.

 

INSURANCE

Civil responsibility

The organisation takes out a third-party insurance for the duration of the event. This third-party insurance guarantees the pecuniary consequences of its responsibility, for that of those working for them and participants.

 

CANCELLATION OF A REGISTRATION

Any cancellation of a registration must be made by email via info@ushuaiabyutmb.com. No withdrawal is registered by telephone or post.

Registration is nominative. There is no authorisation for transferring a registration to another person whatever the motive.

The registration is NOT refundable. In certain cases where the runner has good reasons to justify his non-show to the event, at its sole discretion, the organization may recognize a percentage of the registration fee paid by this runner for the next edition of Ushuaia by UTMB®. The percentage that the organizer may recognize depends on the date the runner informs he/she will not participate: 50% of the participation fee if the runner notifies the organization before January 15th 2019; 20% if the runner notifies before March 5 of 2019; 10% if the runner informs the organization less than 1 month before the event. In any case, the runner will have to send documentation certifying the validiy of the runner´s reasons for the non-show.

 

CHANGE OF RACES

Once registered, runners will not be allowed to change distances or races. Eventually, under specific and excusable circumstances, subject to the organization authorization and at its sole discretion, runners may be allowed to change. In that case, no reimbursement will be applied and the runner will have to pay a penalty of 40% of the cost of registration to the race he/she wants to enter.

 

MODIFICATION OF THIS RULES

The organization reserves the right to modify or add further rules accordingly.
